Guide for chairs of symposium / oral sessions

  1. Please come to the reception for registration and receive a ribbon. At least 15 minutes before the session starts and come to the session room.
  2. Please consider to proceed the sessions according to the allotted time schedule.
  3. There is no announcement for the start of sessions. Please start the session on time.
  4. The duration for each oral session is 10 minutes (7 min for presentation, 3 min for Q&A). At each session room, the time keeper rings the bell at the last 1 minute and the end.
  5. Please provide the detail of each session to presenters.
  6. There is no interpreter for English sessions.
  7. Please fill in the form to select the Best Oral Presentation Award and submit it to the Congress Office after the session.

Guide for chairs of poster sessions

  1. Please come to the reception for registration.
  2. Please receive a ribbon, a pointer, a stop-watch, and a Best Poster Award recommendation form at the reception at least 15 minutes before the session starts and come to the poster of the first poster session.
  3. Please consider to proceed the sessions according to the allotted time schedule.
  4. There is no announcement for the start of sessions. Please start the session on time.
  5. The duration for each poster session is 5 minutes (3 min for presentation, 2 min for Q&A).
  6. There is no interpreter for English sessions.
  7. Please fill in the form to select the Best Poster Award and submit it to the Congress Office after the session.

Guide for presenters of oral sessions

  1. The duration for each oral session
    The duration for each oral session is 10 minutes (7 minutes for presentation, 3 minutes for Q&A). Please follow an instruction of the chair and proceed the session according to the allotted time schedule. At each session room, the time keeper rings bell the bell at the last 1 minute and the end. Please come to the session room at least 15 minutes before the session starts and have a seat for the next presenter.
  2. Submission of presentation material
    Please come to the session room with USB flush memory including your presentation file at least 30 minutes before the session starts, and copy it to the personal computer in the session room, and check the operation for your presentation material.
  3. Presentation method
    Presentation will be done by a personal computer. The following OS and application will be available at the session room.
    • OS: Windows 10
    • Presentation software: Adobe Reader 11 or Microsoft PowerPoint 2016
    • If you would like to use macOS or other OS, please bring your laptop computer.
  4. Presentation file

    Please bring your presentation file by storing in a USB flash memory. Please put the file name as “presentation date_presentation number_presenter name”. e.g. 20191207_O16-3_Taro_Kokusai.pptx

    Please check whether your presentation file works even by other computers in advance.

    Please bring your laptop computer if you will make a presentation using a video.

    Your presentation file will be definitely deleted from the personal computer of the session room after the congress closed.

  5. Conflict of interest (COI)
    Please put your COI disclosure statement for the principal investigator and co-authors in your presentation slide. Please include the COI disclosure for 3 years before the abstract submission.

Guide for presenters of poster sessions

  1. image posterPlease mount your poster on designated panel after confirming your presentation number. A label of your presentation number will be provided.
  2. The posters in the poster area would be shifted from 1st day to 2nd day. Time for mounting and removing the poster would be as follows:

    On 7th December 2019 (Sat)
    Mounting time: 9:00 - 10:00
    Removing time: 18:00 - 19:00

    On 8th December 2019 (Sun)
    Mounting time: 9:00 - 10:00
    Removing time: 16:30 - 18:00

  3. The size of poster area is 180 cm (height) x 120 cm (width). Materials will be available for the mounting of posters; neither adhesive tape nor glue are allowed to use. Allocate the top right of the poster for the title, authors, affiliations as illustrated right-side. No limitation is given for paper size and the number of pieces of papers if all materials set within the poster space.
  4. Please confirm your presentation in the program, and pick a ribbon on the panel, and wait in front of your poster at the start of the session. Please follow an instruction of the chair. The presentation time is 5 minutes (3 min for presentation and 2 min for Q & A). Please keep the schedule strictly.
  5. Conflict of interest (COI)
    Disclosure of COI for authors must be in your poster. Please disclose the past 3 years from the abstract submission.
